Who we are

STEMGENE LTD is the data controller for the personal data described in this notice. We are a laboratory audit and accreditation consultancy registered in England and Wales, based in Manchester.

Personal data we hold

We hold two kinds of personal data.

Enquiries. If you complete the enquiry form on this site or email us, we hold the name, email address, organisation and any details you choose to include in your message.

Business contacts. If we have contacted you about our services without you approaching us first, we hold your name, job title, organisation and business email address, and a note of when and why we contacted you.

Where we obtained your details

If you contacted us, the details came from you. If we contacted you, we obtained your business contact details from publicly available professional sources, which may include the UKAS directory of accredited organisations, your organisation's own website, Companies House, or a professional networking profile. We do not buy contact lists and we do not generate or guess email addresses.

Why we use it, and our lawful basis

Where you have made an enquiry, we use your details to respond to you and to provide the services you ask about. Our lawful basis is legitimate interests, namely responding to a request you have made, or the performance of a contract where one follows.

Where we have contacted you about our services, our lawful basis is legitimate interests under Article 6(1)(f) of the UK GDPR. Our interest is in making organisations that may require specialist accreditation and audit support aware that it is available. We have carried out and documented a legitimate interests assessment, which we will provide on request. We only contact individuals whose professional role makes the service relevant, and we contact business subscribers rather than sole traders or unincorporated partnerships.

Your absolute right to object

You have an unqualified right to object to direct marketing. If you tell us to stop, we will stop, and we will keep a minimal record of your details on a suppression list for the sole purpose of making sure we do not contact you again. You do not need to give a reason, and one word by reply is enough.

Who else handles your data

Our website is hosted by Netlify, which processes enquiry form submissions on our behalf. This may involve your data being transferred outside the United Kingdom. Where that happens, it is covered by the safeguards Netlify maintains for international transfers. We use no other processors for the data described in this notice, and we do not sell or share your personal data for anyone else's marketing.

How long we keep it

Enquiries are kept for up to 24 months after our last contact, unless we go on to work together, in which case business records are kept for six years after the engagement ends to meet legal and accounting requirements. Business contact details used for prospecting are kept for no more than 24 months from the last contact and then deleted. Suppression records are kept indefinitely, because keeping them is the only way to give effect to your objection.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict or object to how we use it, and to receive it in a portable format where that applies. To exercise any of these, email info@stemgene.co.uk. We will respond within one month.

We make no automated decisions about you and we do not carry out profiling.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by telephone on 0303 123 1113, or by writing to Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

Cookies

This site sets no tracking or advertising cookies and uses no analytics that identify you.

If we change this notice we will update the date at the top of this page.
